Fika Safaris is a specialist East African tour operator creating tailor-made safaris throughout Kenya, Tanzania, Uganda, and Rwanda. We work with travel agents and individual travellers from around the world, delivering exceptional service and unforgettable travel experiences.
We are looking for a motivated and well-organised Reservationist / Administrator / Bookkeeper to join our team. This is a varied role that combines reservations, office administration, and financial administration. It is ideal for someone who enjoys working in a dynamic environment, has excellent attention to detail, and takes pride in delivering high-quality work.
Your Responsibilities
As part of our team, you will be involved in the day-to-day operation of the business, including:
Reservations
- Handling safari enquiries and reservations from travel agents and direct clients.
- Preparing quotations, itineraries, confirmations, and travel documents.
- Coordinating bookings with lodges, camps, airlines, and other suppliers.
- Monitoring booking deadlines, payments, and operational requirements.
- Maintaining accurate reservation records and communicating effectively with clients and suppliers.
Administration
- Managing general office administration and correspondence.
- Maintaining company records and digital filing systems.
- Assisting management with operational and administrative tasks.
- Supporting the smooth day-to-day running of the office.
Bookkeeping & Finance
- Preparing invoices and recording incoming payments.
- Processing supplier invoices and maintaining financial records.
- Assisting with bank reconciliations and monthly bookkeeping.
- Supporting management and our external accountant with financial administration.
What We’re Looking For
We are looking for someone who is:
- A self-motivated, autonomous professional who can work independently, take initiative, and manage responsibilities with minimal supervision.
- Experienced in reservations, administration, bookkeeping, or a comparable office-based role.
- Highly organised, accurate, and able to manage multiple tasks.
- Comfortable working with computers and has very good Microsoft Office skills, particularly Excel.
- Confident communicating in English, both verbally and in writing.
- Proactive, reliable, and eager to learn.
- Experience in the tourism industry is essential.
- A self-motivated, autonomous professional who can work independently, take initiative, and manage responsibilities with minimal supervision.

Location
Our office is based in the Gikambura / Kikuyu area. As this role includes regular office attendance, preference will be given to candidates residing in or near Gikambura and the surrounding area.
