Booking Terms & Conditions


All travelers should take out comprehensive insurance coverage when paying their confirmation deposit, to cover them for cancellation, curtailment, medical expenses, personal baggage, emergency evacuation back home, and money. This insurance should be arranged from the time a deposit is made to cover cancellation from that time. Please note that the deposit may not always be refundable – see Refund Policy for details.

Reservation, Deposit & Payment
A booking is confirmed when the (representative of the) traveler(s) has received the invoice and travel itinerary from Fika Safaris Limited. Any deposit payment will represent an acceptance of the below-mentioned conditions.
A deposit of 25% of the total amount is required within 10 (ten) days of confirmation. Final payment is due 45 (forty-five) days prior to arrival. Full payment must accompany all trips booked less than 45 (forty-five) days prior to arrival. All payments via bank should be made without any bank transfer charges for us. We reserve the right to cancel any reservation if full payment is not received by the due date and assess appropriate cancellation charges.

Amendments & Cancellations
All requests for changes must be made in writing. Any changes to a confirmed booking will depend on availability and will be subject to Fika Safaris Limited’s approval. Any variations in seasonal rates will be applied. An amendment fee per booking may be levied for any changes to the confirmed booking. This is charged in addition to the change fees charged by subcontracted partners.
All requests for cancellations must be made in writing. There is no cancellation fee for cancellations made from the time of deposit until 90 days prior to the original travel date (not applicable for a rebooking). For cancellations received less than 90 days prior to arrival the following schedule will apply:
* Cancellations between 90 and 45 days before arrival are charged against 25% of the total cost.
* Cancellations between 44 and 31 days before arrival are charged against 50% of the total cost.
* Cancellations less than 30 days prior to arrival or no-shows are charged against the total cost.
NB: In case of a rebooking the deposit will be held in the form of a non-refundable credit valid for 12 months from the date of issue.

Refund Policy
If eligible for a refund, any (deposit) payment is refunded net of bank charges. Whilst we strive to offer a full refund of your (deposit) payment, some subcontracted partners are completely or partly non-refundable. Fika Safaris Limited reserves the right to offer a travel voucher in lieu of a refund. Trip cancellation and interruption insurance are therefore highly recommended.

Itinerary & Price Changes
Although every effort is made to adhere to schedules, it should be noted that we might be forced by conditions to do so in the traveler’s interest; due to unforeseen circumstances outside the control of Fika Safaris Limited and/or subcontracted partners such as road and weather conditions, acts of God, natural disasters, epidemics, pandemics, industrial action, accidents, civil unrest, government action, or war. We will try to provide an adequate alternative but can accept no liability for any additional cost incurred. Other changes might be parks and reserves migrations of animals from one region to another etc. We will communicate with you in case any of the mentioned changes occur.

We reserve the right to make changes and adjustments to given rates at any time. In the event of a change in government taxes, levies, concession fees, wildlife management fees, or others, we reserve the right to pass these on to you even if you have already fully or partly paid for your services.

Wild Animals
Safaris in Africa entail a certain degree of risk. Please be aware that you may come into close contact with wild animals on safari. We advise you to always consult your guide before undertaking any activity that may bring you into an area populated by wild animals and you must adhere to the directions provided by the guide or tour leader and at each camp. Please be aware that these safaris may take you into close contact with wild animals. Attacks by wild animals are rare, but no safari into the African wilderness can guarantee that this will not occur. To the extent permitted by law, neither Fika Safaris Limited, nor its employees, nor its agents can be held responsible for any injury or incident on the safari.

Promotional Photography & Videos
Fika Safaris Limited reserves the right to use any photographs and/or videos taken during trips for marketing purposes. By booking, travelers agree to allow their images to be used in such photographs and/or videos. However, travelers retain the right to use the images though we retain copyright authority. Travelers who prefer that their images not be used are asked to identify themselves to their tour guide at the beginning of their trip.

Special Needs Requirements
Travelers with special needs (i.e. physical challenges or disabilities) or requests must communicate their special need requirements at the time of the booking. Whilst every care is taken to provide for all your special need requirements made known to us prior to the trip, we obviously require full details of any required medication, medical conditions, and/or disabilities and capabilities to ensure these needs are accommodated.

We will communicate with you in case a special need request cannot be ensured. No responsibility can be taken for catering for any conditions or requirements not communicated to us at the time of booking.

Any dispute for reservations, payments, or complaints about our services must be made in writing to Fika Safaris Limited within 14 days following completion of the trip or will be deemed to have not occurred, with no compromise made to outstanding monies. We regret we are unable to make refunds for the unused portion(s) of the trip including but not limited to missed meals and sightseeing.

Passports, Visas & Health Requirements
You should ensure that you have all the travel documents including valid passports, approved visas, and vaccination certificates (if needed) before your departure date. Fika Safaris Limited will not be responsible for any disruption to your travel plans caused as a result of a failure to do this. This also includes adequate travel and medical insurance.

For any vaccination, for example, the yellow fever vaccination, consult your physician or travel health specialist for the proper prescription. It is your sole responsibility to obtain appropriate medical advice as to medication, immunization, and whether or not you are fit enough to undertake the trip, prior to departure.

Limits on Liability & Responsibility
Fika Safaris Limited its employees, officers, directors, successors, agents, and assigns, do not own or operate any entity which is to or does provide goods or services for your trip. It purchases transportation (by aircraft, coach, train, vessel, or otherwise), hotel and other lodging accommodations, restaurant, ground handling, and other services from various independent suppliers (eg. subcontracted partners). All such persons and entities are independent contractors. As a result, Fika Safaris Limited is not liable or responsible for any negligent or willful act of any such person or entity or of any third person.
Fika Safaris Limited and/or their representatives will not accept any liability or responsibility during or prior/after to the trip in the event of damage, injury, loss, accident, illness, delay or other irregularity due to defects of any company or person employed in the organization of the transportation. Fika Safaris Limited and/or its representatives will not accept any responsibility for extra costs due to delays, changes, or any other reason. Fika Safaris Limited and/or its representatives are not responsible for any consular, political, or military complications created voluntarily or involuntarily by the passengers or any other person. Fika Safaris Limited cannot be held responsible for any fault or default or negligence by accommodation providers nor its employees. Fika Safaris Limited reserve the right to decline, accept or retain any person and to change or cancel the trips, if necessary, for any reasons.

Law & Jurisdiction
Kenyan law shall be applicable in the interpretation of the terms and conditions.
