FIKA SAFARIS LIMITED BOOKING TERMS AND CONDITIONS
1. Booking & Payments
Your booking is confirmed once you receive a written itinerary and invoice from Fika Safaris Ltd. A deposit of 25% of the total trip cost is due within 10 days of confirmation. The remaining balance must be paid at least 45 days prior to arrival.
For bookings made within 45 days of travel, full payment is required upon confirmation.
Important: Please ensure that all bank transfer charges are covered on your end. When making international transfers, select “OUR” as the transfer fee instruction (not “SHA” or “BEN”) to ensure we receive the full invoiced amount.
Prices are quoted in USD unless otherwise stated and may be subject to change due to exchange rates or government-mandated fees.
NB: Fika Safaris Ltd. reserves the right to adjust pricing in the event of government-imposed increases in taxes, levies, park or conservation fees, or other statutory charges. These changes may apply even after full payment has been received.
2. Group Booking Policy (10 or More Travelers)
For group bookings of 10 or more travelers, a non-refundable deposit is required at the time of confirmation. This deposit secures exclusive accommodations, transportation, and guiding services specifically allocated to your group.
Due to the nature of safari logistics and supplier requirements, this deposit is non-refundable under all circumstances, including:
- Full or partial group cancellations
- Reductions in group size
- No-shows or late arrivals
Where possible, name substitutions may be accepted up to 45 days before travel, subject to availability and approval by our partners.
We strongly recommend securing comprehensive group travel insurance to safeguard against unexpected changes or cancellations.
3. Travel Insurance
We highly recommend that all travelers purchase comprehensive travel insurance at the time of booking. Your policy should cover cancellation, curtailment, medical emergencies, personal belongings, and travel delays. Some costs may not be refundable without insurance.
4. Cancellations & Charges
All cancellations must be submitted in writing. A 5% non-refundable administrative fee applies to all cancellations. Additional cancellation fees are as follows:
- More than 90 days before arrival: No further charges (admin fee applies)
- 90 to 45 days before arrival: 25% of total cost
- 44 to 31 days before arrival: 50% of total cost
- 30 days or less / no-shows: 100% of total cost
5. Refund Policy
When eligible, refunds are processed net of all bank or transfer charges. Some services — such as permits, flights, and accommodations — may be partially or fully non-refundable, depending on our partners’ policies.
Where possible, a credit voucher may be issued instead of a monetary refund.
6. Flights
All regional and international flights booked through Fika Safaris Ltd. are strictly non-refundable once purchased, regardless of the reason for change or cancellation.
7. Itinerary Adjustments
While we aim to deliver your itinerary as booked, unforeseen circumstances such as weather, wildlife movement, road conditions, or park closures may require changes. If adjustments are necessary, we will offer suitable alternatives. Any extra costs incurred are the responsibility of the traveler.

8. Wildlife Safety
Your safety is our top priority. While safaris provide opportunities for close encounters with wildlife, wild animals are unpredictable. Please follow all instructions from your guide at all times. Fika Safaris Ltd. cannot be held responsible for injuries or incidents related to wildlife encounters.
9. Health & Vaccinations
Travelers are responsible for ensuring they meet all health and vaccination requirements for travel. Consult your doctor or a travel clinic well in advance of your departure. Fika Safaris Ltd. is not liable for disruptions caused by incomplete health documentation.
10. Special Requirements
If you have any medical conditions, mobility limitations, or dietary needs, please notify us at the time of booking. While we will do our best to accommodate you, we cannot guarantee that all special requests can be met unless confirmed in writing.
11. Use of Photographs & Videos
During your safari, photographs and videos may be taken by Fika Safaris Ltd. staff or guides for use in promotional materials, including our website, brochures, and social media. By joining the trip, you grant us permission to use such media that may feature you or members of your group.
If you prefer not to appear in promotional content, please inform your guide at the beginning of your trip.
All content remains the copyright of Fika Safaris Ltd., though you are welcome to use any shared material for personal purposes.
12. Liability & Third Parties
Fika Safaris Ltd. acts as an agent for independent service providers (such as lodges, transport companies, airlines). We are not liable for the actions or omissions of these third parties. Additionally, we are not responsible for loss, injury, delay, or expenses arising from factors beyond our control.
13. Disputes & Governing Law
Any complaints must be submitted in writing within 14 days after the trip concludes. These terms and conditions are governed by the laws of Kenya.
